The mission

We are looking for an intern to assist and support the OARS Department in day-to-day business and corporate matters.

Main objectives of the role

50% – Support to Facilities Management and Building Operations:

  • Space and Facility Management: Ensure the proper functioning and maintenance of workspaces (offices, meeting rooms, common areas).
  • Environment Security: monitor the security procedures in place and manage the company’s badges.
  • Supplier Relations: Manage relationships with external service providers (maintenance, cleaning, security, etc.), monitor contracts and interventions, ensuring service quality.
  • Equipment and Infrastructure Maintenance: Oversee and maintain technical equipment (HVAC, lighting, etc.), handle repair or replacement requests.
  • Cost and Resource Optimization: Suggest solutions to optimize the use of space, consumables, and facility-related costs.

40% – Support to Reception and Phone System Management:

  • Phone System Management: Handle incoming and outgoing calls, direct calls to the appropriate person or department, and address requests professionally.
  • Physical Reception of Visitors: Greet visitors, clients, and partners, provide direction, and ensure a courteous and efficient reception service.
  • Meeting Room Management: Plan and organize meeting room bookings, prepare rooms (equipment, layout, etc.), and ensure proper usage.
  • Administrative Support: Handle administrative tasks related to these functions, such as agenda management, preparing documents, or drafting meeting minutes.
  • This position combines varied responsibilities in facilities management and internal services, with a strong focus on security, reception, and maintaining supplier relationships.

10% – Reception and catering Coordination of Associated Services:

  • Organize catering or reception services for meetings, events, or important visits.
  • Be a source of ideas and innovation to develop the events business.

Profile of our future teammate

  • Reception/catering industry sector or building management path pursued at a university or a higher education institution (Haute École) in France, Belgium, or Luxembourg
  • Fluent in French and English (Dutch is an asset)
  • Sense of organization and priorities

  • Adaptability and flexibility
